Terms & conditions

These Windsor Piano School terms and conditions apply to enrolment, taster sessions and regular music lessons. Payment of an invoice confirms enrolment and acceptance of these terms. A parent or legal guardian accepts the terms on behalf of a student under 18.

The agreement

These Terms and Conditions govern tuition and related services supplied by Windsor Piano School.

The agreement begins when an invoice for a taster session, regular lessons or another agreed service is paid. Payment confirms that the student, parent or guardian has accepted these terms.

References to “we”, “us” or “the school” mean Windsor Piano School. References to “you” mean the student or the parent or guardian responsible for the student’s account.

Teaching & school standards

  • Lessons are delivered by teachers selected by Windsor Piano School for their musical experience, qualifications, suitability and teaching ability.
  • The school may allocate or change a teacher where reasonably necessary because of illness, availability, scheduling or operational requirements.
  • We will make reasonable efforts to maintain continuity of tuition, but a particular teacher cannot be guaranteed indefinitely.
  • Students, parents and guardians must treat teachers, staff, other students, instruments and school premises with respect.
  • Students are expected to follow reasonable instructions given by teachers and school staff.

Term dates & scheduling

  • Lessons follow the Windsor Piano School calendar. Current dates are published on our Term Dates page .
  • Students and parents are responsible for checking the applicable lesson and term dates.
  • Lessons begin and finish at the scheduled time.
  • Late arrival does not extend the lesson and does not create an entitlement to a refund, credit or rearrangement.
  • A regular lesson time may occasionally need to change because of teacher availability or operational requirements. The school will provide reasonable notice where possible.

Enrolment & continuation

Enrolment

Enrolment may be arranged through the school website, email or administrative team. A regular lesson place is confirmed only after the lesson time has been agreed and the relevant invoice has been paid.

Continuation

Regular enrolment continues automatically from one half-term to the next. Students do not need to re-enrol each half-term.

Ending regular lessons

A full half-term’s written notice is required to terminate regular lessons. Fees remain payable throughout the notice period whether or not the student attends.

Written notice

Notice must be sent directly to Windsor Piano School by email. A verbal conversation with a teacher does not constitute formal notice.

Taster sessions

Taster sessions are separate introductory bookings. Taster fees are non-refundable, and taster sessions cannot be cancelled, rearranged, credited or transferred.

Fees & payment

Half-termly invoices

Regular lessons are invoiced half-termly in advance. Payment must be received by the due date shown on the invoice.

Third-party payment providers

All payments are completed through third-party payment providers. Windsor Piano School does not directly collect, process or store card details or bank-account details.

Late or unpaid invoices

Where payment is not received by the due date, lessons may be suspended until payment is received. The existing lesson time and teacher cannot be guaranteed while an account remains unpaid.

Outstanding balances

Windsor Piano School may take reasonable steps to recover overdue fees and any reasonable recovery costs that are lawfully recoverable.

Student absences

A student absence does not reduce, cancel or amend the half-term invoice.

Fee changes

Lesson fees may be reviewed and changed. Reasonable notice will be provided before revised fees apply to future lessons.

Missed lessons & cancellations

No refunds for student absences

Refunds or lesson credits are not issued when a lesson is cancelled or missed by the student, regardless of the amount of notice given.

Twenty-four hours’ notice

A minimum of 24 hours’ notice before the scheduled lesson time is required for a student absence to qualify for a rearrangement.

Reporting an absence

Absences must be submitted through the school’s Report an Absence form . A message sent only to the teacher does not replace the required absence form.

One make-up lesson per half-term

Each student may rearrange a maximum of one qualifying lesson per half-term, subject to the availability of make-up lesson spaces.

Available make-up slots

A make-up lesson must be booked from the times offered by Windsor Piano School. A specific teacher, day or time cannot be guaranteed.

Make-up lessons cannot be rearranged again

Once booked, a make-up lesson cannot be cancelled, rearranged, refunded, credited, transferred or carried forward.

Teacher or school cancellation

If Windsor Piano School or the teacher cancels a lesson, the lesson will be rearranged or credited. This does not count towards the student’s one make-up lesson allowance.

Attendance, supervision & conduct

  • Parents and guardians remain responsible for children before and after their scheduled lesson.
  • Children who are not participating in a lesson must remain under the supervision of their parent or guardian.
  • Parents or guardians must remain on site during a child’s lesson unless another arrangement has been agreed with the school.
  • The school is not responsible for personal belongings brought onto the premises.
  • Students must use instruments, equipment and school facilities appropriately.
  • Any deliberate or careless damage caused by a student, parent or visitor may be charged to the responsible person.
  • The school may suspend or end enrolment because of serious misconduct, abusive behaviour, safety concerns, non-payment or repeated breach of these terms.

Nothing in these terms excludes or limits liability where it would be unlawful to do so.

Medical & support needs

Serious medical conditions

A parent or guardian must tell Windsor Piano School about any serious medical condition, allergy or emergency requirement that may affect the student during lessons.

Emergency medication and assistance

Where a student may require urgent medication or specialist assistance, the parent or guardian remains responsible for ensuring that an appropriately capable adult is available unless a different arrangement has been expressly agreed.

Additional support needs

Parents and guardians should provide relevant information about learning, accessibility, communication or support needs that may reasonably affect the student’s lessons.

Reasonable arrangements

The school will consider reasonable arrangements based on the information provided, available resources and the nature of the tuition.

Photography & recordings

Windsor Piano School may take photographs or recordings during lessons, recitals, festivals or school events. Identifiable photographs and recordings will be used for publicity, promotional materials or social media only where appropriate permission has been obtained.

Permission for future use may be withdrawn by contacting the school. Withdrawal applies to future use and does not require the school to recall material that was lawfully printed or published before the request was received.

Statutory rights & online bookings

Nothing in these Terms and Conditions removes or limits any statutory consumer rights that cannot lawfully be excluded.

Where a statutory cancellation right applies to a booking made online, by telephone or by email, that right will apply in accordance with the law.

Where you ask Windsor Piano School to begin providing a service during an applicable statutory cancellation period, you may be responsible for the value of any service already supplied before cancellation.

Changes to these terms

Windsor Piano School may update these Terms and Conditions where fees, services, policies, legal responsibilities or operational requirements change.

The current version will be published on this page. Material changes affecting existing students will be communicated before they apply to future lessons or future payment periods.

Governing law & questions

These terms are governed by the law of England and Wales, subject to any mandatory consumer protections that apply.

Questions or concerns should first be raised directly with Windsor Piano School so that we have an opportunity to review and resolve the matter.
