We do not normally ask students or parents to provide their home address.
Contact information
Student and parent or guardian names, email addresses, telephone numbers and the relationship between a child student and the responsible parent or guardian.
Lesson information
The student’s age, instrument, musical experience, teacher, lesson time, lesson duration, attendance, reported absences, progress and communications about tuition.
Invoices and payment confirmations
All payments are handled through third-party payment providers. Windsor Piano School does not directly collect, process or store card details or bank-account details.
We may receive and retain the invoice amount, payment status, payment date and transaction reference supplied by the payment provider so that we can administer the student’s account.
Examinations and performances
Information required for examination entries, recitals, festivals and other agreed musical opportunities, including the student’s name, date of birth, instrument, grade and result.
Relevant support information
Health, accessibility, emergency or safeguarding information only where it is voluntarily provided and reasonably needed to teach or support the student safely.
Website information
Information submitted through contact, booking and absence forms, together with limited technical information required for website security and operation.
How we use your information
Enquiries and taster sessions
We use contact and availability information to answer enquiries and arrange taster sessions.

We use personal information to assign a teacher, reserve a lesson time, provide tuition, manage attendance and communicate with students, parents or guardians.
Once an invoice has been paid through the relevant third-party payment provider, we use the necessary information to confirm and administer the student’s enrolment and lessons.

Enquiries
Enquiry information that does not lead to enrolment is normally deleted when it is no longer reasonably needed.
Student records
Lesson and account records are kept during enrolment and afterwards for the period reasonably required for administration, complaints, safeguarding or legal claims.
Financial records
Invoices and payment-confirmation records are retained for the period required by applicable accounting and taxation rules.
How we protect your information
We use reasonable administrative and technical measures to protect personal information against loss, misuse, unauthorised access or accidental disclosure.
Access is limited to teachers, administrators and service providers who reasonably need the information for their work. No electronic storage or communication system can be guaranteed to be completely secure.
Children’s information
Many Windsor Piano School students are under 18. Enrolment and account information for a child is normally provided and managed by a parent or guardian.
We collect only the information reasonably needed to provide lessons, communicate with the responsible adult, support the student and arrange agreed examinations or performances.
