Lesson cancellation policy

A clear and fair scheduling policy for students taking piano, violin, guitar, drums and singing lessons at Windsor Piano School.

24 hours minimum notice to request a rearrangement
1 per half-term maximum student make-up lesson allowance
No refunds for student cancellations or missed lessons

Lesson rescheduling

Minimum notice period

A minimum of 24 hours’ notice before the scheduled lesson time is required to request a rearrangement. Notice given less than 24 hours before the lesson does not qualify for a make-up lesson.

How to report an absence

Complete and submit our absence form as soon as possible. Absence notifications sent directly to a teacher do not replace submission of the school’s absence form.

One make-up lesson per half-term

Each student may rearrange a maximum of one qualifying lesson per half-term. This limit helps maintain consistent progress and ensures fair access to available make-up lesson spaces.

Available make-up slots

Qualifying lessons may be rearranged only into the make-up slots offered by Windsor Piano School. A specific teacher, day or time cannot be guaranteed.

Alternative teacher

Where the regular teacher is unavailable, the make-up lesson may be offered with another suitably qualified Windsor Piano School teacher.

Make-up lessons cannot be rearranged again

Once a make-up lesson has been booked, it cannot be cancelled, rearranged, credited, refunded or carried forward to another half-term.

Cancellations & refunds

No refunds for student cancellations or missed lessons

Refunds or lesson credits are not issued when a lesson is cancelled or missed by the student, regardless of the amount of notice provided. Where at least 24 hours’ notice is given, one lesson per half-term may be rearranged in accordance with this policy.

Late arrival

Lessons begin and finish at the scheduled times. If a student arrives late, the lesson will still finish at its original end time and the missed time cannot be added, credited or rearranged.

Teacher or school cancellation

If Windsor Piano School or the teacher cancels a lesson, the lesson will be rearranged or credited. A cancellation made by the school does not count towards the student’s one make-up lesson allowance.

General terms

Regular lesson commitment

Enrolment reserves a regular weekly lesson time and teacher. Students and guardians are responsible for attending the scheduled lessons or reporting absences in accordance with this policy.

Half-term payment

Regular lessons are invoiced and paid in advance for the half-term. A student absence does not reduce or amend the half-term invoice.

Policy acceptance

By enrolling and continuing lessons at Windsor Piano School, students and guardians agree to follow this cancellation and rescheduling policy.

Fair application

The policy applies consistently to all students so that teachers’ schedules, lesson spaces and make-up availability can be managed fairly.
